Using Figma to Accelerate Client Collaboration & Launch

The Challenge:

Help First had been preparing to launch their occupational therapy service for a long time but only secured funding a week before reaching out. With no internal knowledge of web design, branding, or online presence, they urgently needed a site that would show legitimacy to both potential clients and investors. Without a professional online presence, they risked being seen as unprepared or not credible. To make matters more pressing, they needed the website live in just three days.

Goals & Constraints:

  • Deliver a fully functional three-page site in 3 days.

  • Work with minimal input: brief, logo, and signup form only.

  • Research similar sites and small-team companies in Australia to ensure the site felt appropriate and credible.

  • Use tools and workflow that support fast feedback, iteration, and clear client communication.

The Process

Research

The project began with research to understand both the market and the client’s specific context. With only a short brief, their business card, tagline, and country as starting inputs, I explored Australian occupational therapy services as well as small-team companies (2–3 employees) to see how they structured content, conveyed credibility, and presented their services online.

From this, I created a mood board to define the visual direction, combining imagery, UI elements, and design references that would help establish a professional yet approachable identity, with this in mind I ended up deciding that the  website will use a warm, human-centered visual identity with an emphasis on accessibility, clarity, and compassion. The design combined a bright accent palette with modern typography and soft UI elements to create a welcoming experience.

Client feedback

Using Figma, I developed a low-fidelity wireframe to map structure, layout, and content flow. The wireframe was shared immediately with the client to gain feedback and ensure alignment. To save time since i didn’t have a lot, i went straight to wordpress and actioned the changes client had requested. I expanded the site from a single page to three pages: the signup form was moved to its own page(and converted into a fillable online form using wpforms), accessible via a top-left menu button, and a separate Contact Us page was added to clarify communication channels (also removed google maps api since client goes to customers not the other way round).

Alongside this, I defined the color palette, typography, and visual hierarchy, following the client’s business card to maintain brand consistency. This approach ensured fast alignment and minimized revisions, setting a strong foundation for development.

The website was successfully delivered in just three days, meeting the tight deadline and the client’s urgent need for credibility. The client praised the clarity of communication, the speed of delivery, and the polished look of the final site. Using Figma to guide wireframing and feedback minimized unnecessary revisions and ensured alignment, demonstrating the impact of UX process in a real-world, time-sensitive project. The final website looks professional, provides a clear and user-friendly experience, and establishes Help First as a legitimate, credible service to both clients and investors.
